What happens now?

There are probably very few people with personal information on individuals that are storing the data outside of the club’s systems. This basic survey will identify who they are and why they are holding the information. It also confirms that the majority of people are not holding personal information in any format for our records.

For the few cases where people are holding information on systems outside of HAC it is likely that the security and integrity of those systems may be revewed with the indiviidual, and recommendations may be made back to the committee to purchase software protection that ensure the safety of the information. This may include Anti Virus and Security protection and / or disk encryption.

Phase 2

Once phase 1 is complete we will look at the internal paper based systems and data held in a digital format within the club.  That analysis may also encourage recommendations made to the committee.

Redevelopment of the Privacy Policy

The final step is to put together a new Privacy Policy for the club and the various processes and procedures to ensure conformance to the policy which will also meet the requirments of the General Data Protection Regulation (2018). This final stage is likely to affect a very small group of people, but the implications of the policy are there for the benefit and protection of everyone.
